Introduction

Welcome to Universal Table Tennis (UTT).

UTT operates table tennis activities, coaching services, and training hubs, including GMTTA.

These Terms & Conditions govern participation in UTT activities, coaching sessions, events, memberships, bookings, and use of the UTT website.

By booking a session, registering for membership, attending an activity, or using the website, you agree to comply with these Terms & Conditions.

UTT reserves the right to update these Terms & Conditions from time to time. Any changes will be published on this page.

Memberships

UTT offers three participation options: Pay As You Go (PAYG), Monthly Access, and Annual Membership.

Pay As You Go (PAYG)

PAYG allows participants to attend sessions on a casual basis and is charged per session. PAYG represents the highest cost-per-session option and is intended for flexible or occasional attendance. Attendance is subject to availability and booking through the UTT booking system.

 

Monthly Access

Monthly Access provides participants with entry to UTT sessions on a recurring monthly basis.

Monthly Access is a flexible option that may be cancelled in accordance with the payment provider’s direct debit or subscription terms. Monthly Access does not constitute full membership of UTT.

Monthly Access offers a reduced cost-per-session compared to PAYG but does not include the full benefits, privileges, or status associated with Annual Membership.

 

Annual Membership

Annual Membership represents full membership of UTT and reflects a higher level of commitment to the organisation.

Annual Membership provides access to full membership benefits for the duration of the membership period and is the primary membership tier within UTT.

Membership benefits may include, but are not limited to, priority access to sessions, discounted coaching rates, and other member-only advantages. For example, Annual Members may receive reduced pricing on one-to-one coaching sessions compared to standard PAYG rates.

From time to time, UTT may offer promotional membership arrangements, which may include extended access periods, additional benefits, or early registration incentives. Such promotions are time-limited and subject to the specific terms stated at the time of the offer.

Where Annual Membership is paid in instalments, membership status and benefits will only become active once full payment has been completed. Instalment arrangements must be completed within the agreed timeframe of up to three months. Failure to complete payments may result in suspension of access until outstanding amounts are settled.

UTT reserves the right to review, amend, or withdraw membership options and associated benefits at any time.

Bookings and Cancellations

UTT sessions must be booked in advance through the official UTT booking system and are subject to availability.

All bookings must be paid for online at the time of booking unless otherwise agreed by UTT.

 

Cancellations

Cancellations must be made at least 48 hours before the session start time.

Cancellations made within 48 hours of the session may not be eligible for a refund, credit, or transfer. Any refund, credit, or transfer will be considered solely at the discretion of UTT. Requests will be assessed on a case-by-case basis in line with operational requirements and fairness to other participants, including those on waiting lists.

No-Shows

Failure to attend a booked session without prior notice may result in the loss of payment for that session.

 

Waiting List

Where sessions are fully booked, participants may be placed on a waiting list. If a space becomes available, UTT may offer the place to the next suitable participant on the list. Priority is given at the discretion of UTT.

UTT reserves the right to manage bookings, attendance, and waiting lists in the best interests of the programme and its participants.

Attendance and Participation

Participants are expected to attend sessions on time and remain for the full duration of their booked session unless otherwise agreed by UTT staff.

Late arrival may result in reduced participation time, depending on the structure of the session.

Participants must follow reasonable instructions given by coaches, assistants, or UTT staff during all activities.

UTT sessions are structured training environments, and all participants are expected to behave in a respectful, safe, and cooperative manner at all times.

Disruptive behaviour, refusal to follow instructions, or actions that impact the safety or enjoyment of others may result in removal from a session without refund.

Parents and guardians are expected to ensure that participants are prepared for sessions and arrive with appropriate equipment, clothing, and readiness to participate.

UTT reserves the right to refuse participation where attendance, behaviour, or preparedness is considered inappropriate or unsafe.

Behaviour Expectations

Sharing Your Information

UTT does not sell, rent, or trade personal information to third parties.

Personal information may be shared with trusted service providers where necessary to support the operation of UTT services, including website hosting, booking systems, payment processing, email communications, and other administrative functions.

Information may also be disclosed where required by law, to protect the rights or safety of individuals, or to meet safeguarding, legal, or regulatory obligations.

Any third-party provider engaged by UTT is expected to handle personal information responsibly and in accordance with applicable data protection requirements.

UTT is committed to providing a safe, respectful, and positive environment for all participants, parents/guardians, coaches, volunteers, and visitors.

Respectful behaviour is expected at all times during UTT activities, including coaching sessions, events, and any interaction with staff or other participants.

Language and Conduct

Inappropriate language, including swearing, is not permitted during UTT activities.

Participants, parents/guardians, coaches, and visitors will normally be given up to three reminders regarding inappropriate language.

From the fourth incident onwards, a £5 conduct charge will normally be issued for each further breach.

Any conduct charge must be paid before the individual may attend any further UTT activities, including group sessions, private coaching sessions, events, or other programmes.

The payment of a conduct charge does not reset or restart the conduct record. Once the initial three reminders have been used, future breaches may continue to result in further conduct charges.

Where inappropriate language continues despite reminders and conduct charges, UTT may impose a temporary suspension of up to three months.

Persistent misconduct, refusal to comply with UTT policies, refusal to pay conduct charges, or serious behavioural concerns may result in termination of participation or membership without refund.

UTT reserves the right to take immediate action where behaviour is aggressive, threatening, abusive, discriminatory, or poses a risk to the safety or wellbeing of others.

Junior Participants

UTT is not a childcare, babysitting, or general supervision service. All junior participation is provided within a structured coaching and training environment.

Ages 4–9

Participants aged 4–9 must be accompanied by a parent or legal guardian who remains on site for the full duration of the session.

Parents or guardians are responsible for the welfare, behaviour, and supervision of their child before, during, and immediately after the session.

 

Ages 10–15

Participants aged 10–15 may attend sessions without a parent or guardian remaining on site. However, a parent or guardian must remain contactable at all times and be able to return promptly if required by UTT staff.

 

One-to-One Coaching (Under 18s)

For all one-to-one coaching sessions involving participants under the age of 18, a parent, guardian, or other responsible adult nominated by the parent or guardian must remain present at the venue for the full duration of the session, unless otherwise agreed in advance by UTT for safeguarding reasons.

UTT reserves the right to refuse participation where appropriate safeguarding arrangements are not in place.

All emergency contact and medical information provided must be accurate and kept up to date.

Suspension and Termination

UTT reserves the right to suspend participation or membership where behaviour, conduct, safety concerns, non-payment, or failure to comply with UTT policies is deemed inappropriate or disruptive to the organisation or other participants.

Suspension may be issued for a defined period of up to three months, depending on the severity and nature of the issue.

During a period of suspension, individuals may not attend any UTT sessions, coaching, events, or activities.

UTT also reserves the right to terminate participation or membership without refund in cases of serious misconduct, repeated breaches of UTT policies, refusal to comply with conduct requirements, refusal to pay conduct charges, or behaviour that poses a risk to the safety, wellbeing, or enjoyment of others.

Termination decisions are made at the discretion of UTT and are considered final.

Changes to Services

UTT reserves the right to modify, update, or withdraw any services, sessions, coaching structures, pricing, schedules, or membership options at any time.

Where reasonably possible, participants will be given notice of significant changes affecting bookings or memberships.

UTT will not be liable for any loss arising from changes made to services, schedules, or availability.

Limitation of Liability

Participation in physical activities such as table tennis coaching and training involves a degree of inherent risk.

By attending UTT sessions, participants (or their parents/guardians in the case of minors) acknowledge and accept these risks.

UTT accepts no liability for injury, loss, or damage sustained during participation in activities, except where such liability cannot be excluded under UK law.

Participants are responsible for ensuring they are medically and physically fit to participate in sessions.

UTT is not responsible for loss or damage to personal belongings brought to sessions or events.
